Registering Collected Scheduled Samples

Once the samples have been collected, it is necessary to register them back into the system.  This allows the system to ‘know’ that the sample has been collected, or was unable to be collected, plus any details of the sampling, such as water level, development volume etc. The only samples that appear on the Being Collected tab are those that were selected to be sampled on the To Be Sampled tab

1.  Toggle the display between all programs and individual programs if necessary and select the program name.

2.  From the Being Collected tab of the Scheduled Samples form, select the samples that have been collected (using Shift+Click, Ctrl+Click or Click and Drag)

3.  Press the Register Samples button.  A screen as shown below will appear.

4.  For each sample, type in the pertinent field information (water levels, temperature, development volumes etc.), plus the date and time the sample was collected.  By clicking on the date and time field, the system will update to the current conditions, which can then be edited.  It is also recommended to add the name of the individual who collected the samples.  Add any comments as required, such as anomalies relating to the sampling conditions or the condition of the well.

5.  The lower half of the form lists each sample bottle that was originally scheduled for this sampling.  For each sample bottle, it is necessary to indicate if it was collected (properly filled) or discarded (lack of water etc).  Samples marked as collected will now appear on the Chain of Custody form.

Note: that it is important to set the status of all samples as either Completed or Discarded, as the sample will otherwise remain in the system.
